Howdy,

We're a relatively new Samsung OfficeServ dealer and one thing I've noticed is their post installation collateral materials suck or are non-existent.

I get a Quick Reference tri-fold kind of guide that I can order from Graybar for the phone and voicemail (nothing comes with the phone?!?!?!) but no full sized user's guide.

But for administration, user updates, full sized user guide, speed dials, VM password resets, etc. there isn't anything there so I'm typing one up.

It's kind of ridicules that after install or for training we don't have anything to give them. Nothing.

Are there any dealer groups or would anyone be interested in sharing training / cheat sheets, etc?

We install the UG PDF on their server. Then we put the User Guide PDF on everyone's computer desktop.

Been doing it that way for years and have had no customer pushback.

If you give them a hard copy ( that you CAN order ) they'll just lose it and want another.

This way they always have a copy.

We do what Mfecko does plus make up a one-page cheat sheet in Word that is customized to the customer. Every user application is different. A user that has direct trunk keys vs call keys, park keys, etc, all so different that a standard guide doesn't cut it.

It takes a lot less time to type something up each time then it does to do more on-site training.

Most 'factory' user guides are confusing and worthless and should only be used to supplement a custom guide.

The attention span of a user is usually about three minutes at best, so a one-page user guide is about all that will work. Skip all the fluff features and get right down to the brass tax of answering/transferring calls.

An Example:

PLACE A CALL – dial 9 + the number.

TO ANSWER A CALL –

If your phone is ringing, just pick up the handset.

TRANSFER A CALL –

While you are connected to an outside caller, press the transfer button, enter the extension number (2101, etc), then hang up.

TO PLACE A CALL ON HOLD - Press the red hold button at the bottom edge of the phone. Held calls only show on YOUR phone, not others. Pressing hold twice prevents a call from recalling/ringing back.

PLACE A CALLER ON PARK/HOLD vs TRANSFER –

The front desk can PARK a call for you. Press PARK + 1, 2, 3, 4 to pickup a call PARK’d for you. This is an alternate way to get a call to you vs transferring/ringing.

TRANSFER AN OUTSIDE CALLER DIRECTLY TO A MAILBOX (vs ringing the phone first) –

While on the outside line, press the VM TRSF button and press in the ext number, then hangup.


VOICE MAIL ---

RETRIEVING A VOICE MAIL MESSAGE FROM INSIDE THE OFFICE –

When you have a voice mail message, the LCD display will read you have ‘XXX new messages,’ the VOICE MAIL button will flash also. Press the VOICE MAIL (or MESSAGE) button and press 1 when prompted.

To save a message, press 2, to delete a message press 3, to forward a message to someone else, press 6.

To skip from one message to the next (doing this and not entering 2 or 3 makes the message stay as a new message) press #. To hear the date/time stamp during a message, press 00.

From outside the office dial XXX.XXX.XXXX and enter # plus your mailbox number.

TO LEAVE A VOICE MAIL FOR SOMEONE ELSE IN THE OFFICE –

Press # on your Samsung phone and enter in their ext number. You will go directly into their mailbox. You can always skip someone’s greeting by pressing 1.

Right on Noisycow. Full user guides detail features most customers will never need to know about. I give out only the cheatsheets at the time of install.I'm happy to give out full documentation if the customer asks.

A+ RM. Yep, if you want a confused customer just start handing out the manufacturer's user guide. Write your cell number on the front so when each person has a question they can call you!
