what are some of the tasks that i can do to make the techs life easier when moving the phone system.

By all means, tell everyone in the office that they must get off the phone when the technician is ready to remove the system. So many times, they stand there waiting because someone gets on a 30 minute phone call. Also, if you can have as much of the furniture and surroundings moved so that they can get to the phone jacks readily. Last, confirm that the phone lines have been installed by the telephone company at the new location (I mean really confirm; don't trust their word that it's done).

We don't move the fones. Fones are office equipment and should be moved by the moving people. What I like to do is grab the reception fone to use for testing.
At yer new location, make sure the phone and data cords are plugged into the wall jacks and routed through furniture BEFORE the furniture is put into it's final position.
Have you done a walk through at the new location to be sure the jacks are in the correct location and there are enough for the devices you need activated? Have you provided a map showing where every extension is going to be after yer moved in? If there are multiple jack locations in single offices, does the foneguy know which jack needs to be activated?
Does the new foneroom have power, an extension from the d-marc and all the voice cables terminated? Does the new foneroom have the same type of voice termination as the old location?

The previuos two posters have made some good suggestions. In addition i would like to add, and please dont take this the wrong way because I am halfway kidding here BUT, once its determined where everything goes, dont make any changes and stay out of the way.

really you need a good vendor who has experiance and knows what he needs and will be working with you well ahead of time
be sure the phone equipment room is accssable and not bieng used for storage.
I always suggest a memo saying phones will be cut at time and we pull the plug then .
make sure the othere trades are done in the area I once walked into a phone room during a move and the floor was sticky tile guy comes out of another room yelling at me for walking over his adhesive .
quick meeting with the customer and cardbord went down on the floor and we put in phones

All the above AND make sure all the cable is in terminated properly (on both ends) and tested. ALso make sure you have a good earth gound where your phone system is going to be as well as (I always suggest this) power and a good UPS. Now is the time to do this. Make sure if it's a wall mounted unit that there is plenty of 3/4 inch plywood up and room for your system and it blocks. Good luck!

Some other things to consider: -First, do a database save right now! -If it is new construction, have at least one wall in your phone room finished in 3/4" plywood. This way you can mount equipment easily. -It was already mentioned, but make sure you get two maps; 1) of the jack locations and their termination points in the phone room, 2) Of the seating locations of your staff -Make a list of your port numbers, extensions, and user names -Don't forget about paging system amplifier and speakers... I always get so wrapped up in phone-related items, I forget the paging system until the last minute -If you have remote IP phones, make sure you have the external IP of your new internet service ready, so you can configure your IPRC, phones, etc. -This is an excelent time to change the batteries in your UPS too... -If you are moving out of your local calling area, you may have to adjust several items in your "numbering plan" for your new area code, denied numbers, etc. Moving sure is fun
