Hello,

I'm new to this phone system AXXESS Inter-Tel 10.0 and Db Studio 1.65. I was just assigned the admin without any passwords or manual.

I have learned a lot in the process of finding out how to use the admin mailbox and I can now get into the admin box and assign a custom voice message.

The problem is the saved message isn't playing when someone calls in. How do I get this message to play?

When someone calls in they get the message "Mailbox 23 isn't available"

If it were prior to 7.0 I would say the persons NAME is not recorded, as opposed to the personal greeting, it hasn't been personalized so to speak...but that's just my opinion.

Oh dear me I misread that...again prior to 7.0, but from what I gather it's pretty much the same, there is a place in the application that says day greeting night greeting, the recording number you want to use needs to go there, but then you did say "mailbox" didn't you...my first response may have been more correct.

If you are getting "Im sorry Extension XXX is not available, please leave a message" Then there is no personal greeting recorded for that mailbox. If you are getting "Im Sorry Extension XXX is not available, to leave a message please press one, to try another extension..." that means that the call is never really getting to the MB at all and AA Recall is handling the call.

Update/clarification:
Thanks for the responses. I'm trying to apply the day greeting and night greeting to the system using the admin mailbox. Per instructions found on this forum, I do this through the admin mailbox. Is that correct?

Assuming that's correct.

I've been able to get into the admin options and select the day and night messages and save them to the system.

What I can't seem to do is apply these recordings to the main greeting.

I'm using the following instructions:

How to apply the recording to the main greeting.

Press *, enter 3 for recording options, enter 2 to select a custom recording, I then enter 2500 to select the extension number (this may be where I'm wrong but the system accepts it) then enter 1 and 2 for day/night then # to accept. The system displays messages saved.

The test call from a cell phone into the system "I'm sorry but extension 23 isn't available.

This message should say thank you for calling xx company our normal business hours are etc...

Am I missing a step here? Do I need to go into Db Studio and do something??

The process is much easier in DB Studio. You can assign the recordings and then enter the administrative mailbox for the sole purpose of recording the message. With what you've described, I almost bet you're accessing recording number 250 (dialing 2500, it accepts the first three digits and ignores the last zero). I'd be willing to bet that if you looked up Audiotex recording 250 in DB Studio, you'd find your recording.
