I would like to be able to have the receptionist record a special greeting for when we have snow days or unexpected closings, etc. I was told that as long as a special greeting is recorded it will take precedence over the night and day greetings. Well, I recorded one but in never plays. How do I go about making it active?

At her station press ??(VMS access)-#-#-XXXX(station)-3-4-5. Record the greeting. To return to the standard greeting ??-#-#-XXXX-3-4-3. All phones with voice mail have this option. Or are you talking about Special Service Gretings for the Auto Attndant?

What I am doing is pressing 500, # to get into our voicemail. Entering ext. 999 and the password. Choosing 4 for system greeting messages and pressing 3 for Special Greetings. The I choose greeting number 1 and record.

Then you will have to go into the voice mail screen and go to Automated Attendant parameters and assign special service greeting 3 to 1 day mode or 2 night mode or # for system mode. Then it will stay in effect until you change it back to the normal greeting.It's a pain in the butt. I have found that the best way is to just re-record the opening greeting as you can do that from outside the office as long as you know the password for 999.

What do those options mean? I don't think I have the Auto-Attendant set up now...when people call in the Operator console rings and she picks up..we have a person designated so we can use them as day alert if she goes on break then we have an overflow extension as well. If she hits the night button on the console between 8am and 5-pm, it plays a greeting letting people choose to dial by name etc, leave us a message etc...(we recorded this as the Day greeting) After 5 if she puts it on night our night greeting plays...if she never puts it on night at any time then the console will always ring.
Let me know if I am confusing you..I think I am getting confused myself!

Ok from what your telling me you only use the Auto Attendant at night. The options above mean that when you assign the Spcl. Greeting to 1 day them it will replace the normal day greeting if you use 2 night it will only replace the night greeting if you use # it will replace both. To due this you have to go to the Voice Mail unit and hit enter and that will bring up the screen, then press 4 and enter the password 0000 is the default unless the tech that installed changed it. Then go to the Auto Attendant parameters, there you will find the program I was talking about. It sounds like you are using the same greeting (day) for everthing, is this correct? If so then you would use #
